Executive Summary
A brief overview of the e-discovery process using HardCopy Pro Plus:
Once e-discovery data has been collected from the source (and any relevent forensic recovery or analysis has been completed), HardCopy Pro Plus allows the user the import the data and generate reports that are helpful for analyzing the contents of the dataset. The user can then filter the data based on important criteria such as timeframes, keywords, or filetypes. The next step is to process the data. HardCopy Pro Plus extracts containerized files (such as e-mail archives), indexes relevent text and metadata fields, creates images of the data, identifies duplicates, and builds an export load file. The user can run a quality control process, which involves both automated and manual safeguards. The data is then delivered to the client, who generally reviews it using a third-party document review system.
HardCopy Pro Plus is used primarily by large litigation support vendors, however many large law firms, FORTUNE 500 corporations, and government agencies use it for in-house productions. HardCopy Pro Plus has also been used by forensic and data recovery specialists who wish to offer e-discovery services to their clients. The product is bundled with training and technical support and has been in continual development for over ten years. Key goals include a high level of optimization, and an emphasis on flexibility and extensibility. Extractiva offers a high level of responsiveness to custom feature requests and customized solutions.
Installations of HardCopy Pro Plus range from clients with a single workstation to a datacenter with over 250 nodes that can handle multiple terabyte productions with a 24-hour turnaround.

The Experience of the Most Mature EDD Production Platform
Avoid the pitfalls that we have identified and avoided through years of experience
New requested features delivered quickly; typically one to two minor releases per month with new features.
Based on industry observations, new features and capabilities appear in HardCopy Pro Plus 6 to 18 months before appearing in other products.
Flexible Workflow
Explore your data before processing it. For example, process only the file-types you need. Or only process files older or newer than a certain date. Or save a list of the documents that are responsive.
Flexible and customizable workflow – not a linear workflow that dictates the order/method of processing
Save settings per-project, per-case, per project type, and import settings to new projects
Workflow wizard to automate project tasks
Easy re-work of problematic documents
Project Management
Years of project management experience built into workflow and control documents
Job Checklist/Project Control Documents
Print reports detailing the data you’re working with.
Error reporting and logging at each stage of processing
File format support
Supports hundreds of file formats
True-to-the-original output using native applications (for example, use Microsoft Word to process .doc files) or use built-in viewers for hundreds of file types
Configure additional native applications and viewers for rare file types that no one else can process
File-Type Detection – detect files with renamed, incorrect, or missing extensions, so if someone renames a .doc file to .mp3 in an attempt to hide its contents, you’ll know.
Embedded files extraction
Archive extraction – ZIP, RAR, CAB, etc.
E-mail support
Analyze and filter e-mail archives before extracting
Supports Outlook (PST), Lotus Notes (NSF), Unix (mbox), Mozilla Thunderbird, and other e-mail formats
Supports mail, journals, contacts, tasks, appointments, notes, meeting items, and customized Outlook/Lotus Notes databases
Maintains relationships between e-mails and attachments

Q: Does HardCopy Pro Plus support Unicode?
A: Yes, the software support Unicode data and can support text/metadata extraction and imaging in foreign language character sets.
Q: Does HCPP detect filetypes?
A: Yes, there is built in filetype detection. By default, filetype detection is automatically run when you add files to the workspace.
Q: In what manner does HCPP de-duplicate files and e-mails?
A: HCPP computes a hash based on the fields that you choose. You can also de-duplicate across multiple custodians.
Q: If I have removed files from the collection after de-duplication, can I bring them back (“Re-duplicate”)?
A: Yes, you can re-duplicate files. You can also flag duplicates and keep them in the collection.
Q: How many workstations should I start with?
A: This depends on the volume of data and the timeframes involved. Please contact us and we can help you determine.
Q: Can HCPP handle Groupwise e-mails?
A: A convertor must be used to convert Groupwise e-mails into PST format before importing into HCPP.
Q: I received a strange (proprietary or old) file type
A: As long as you can locate a viewer for the filetype, HCPP can easily add support for the viewer. If you have difficulty, contact us directly.
Q: Does Extractiva make custom changes or allow access to the backend/API for us to build custom tools?
A: Yes, we are very responsive to your specific requests and our support team can assist you with tying in to the backend.
Q: Do you create fully searchable PDFs?
A: Yes, we create fully searchable native PDF files without the need for an intermediary TIFF creation process or time-consuming OCR.
Q: We use a native review platform, can Extractiva produce documents for native review?
A: Yes, HCPP will export to native review tools.
Q: Does HCPP have its own built in review tool?
A: HCPP has a quality control module and a built in document information and image review screen intended for the production staff to review data during and after processing. End-user review of produced data should be done with a third-party product.
Q: How extensive is HCPP’s bates stamping/endorsement?
A: Very flexible – any field from the database (such as filename, bates number, etc.) can be endorsed onto the images, along with custom messages, anywhere on the page and in any typeface.
Q: We are a large vendor looking to switch from our current e-discovery processing tool. Do you offer a site license?
A: Yes, we offer an unlimited enterprise site license which allows you to run as many workstations and distributed processing nodes as necessary, and includes unlimited support.
Q: Who can run HCPP?
A: Our training staff has worked with users of all skill levels, from former scan operators to seasoned developers. It is recommended that any large e-discovery operation should retain at least one senior-level litigation support professional who is experienced in e-discovery production and can oversee the production staff. Extractiva understands that many smaller users cannot retain that level of expertise, therefore we offer excellent technical support.
Q: What kind of training is needed for an HCPP operator?
A: Simple e-discovery jobs can be done by the casual user, however the exceptional cases require the assistance of a litigation support professional with experience and dedication. E-discovery will always be potentially messy, because it involves widely disparate enterprise data and very specific processing requirements. Our support team has dealt with problematic productions of all types and is ready to assist you with smooth solutions to these issues.
